A data analysis report answers one decision question in plain language: what you found, how you checked it, what it does not prove, and what to do next. Charts and tables support that story; they are not the story. This post gives a reusable structure, a short illustrative example from our practice enquiry dataset, and a free Excel template you can download.
I'm Gulab Chand Tejwani. I teach data analysis at TechNet Consultancy in Vallabh Vidyanagar, Anand, and online. Most first reports I review have too many charts and too little recommendation. The template below is the outline I ask learners to fill before they decorate anything.
Report structure (use this every time)
- Title and date
- Question — the decision the reader is trying to make
- Headline finding — one or two sentences
- Evidence — one table or chart with labelled units and the period covered
- Method — sources, filters, cleaning rules, tools
- Limits — what the data cannot prove
- Recommendations — concrete next actions with owners if known
- Appendix (optional) — extra cuts, SQL, dictionary links
That order matches the data analysis process: communicate is the last step, but the report still starts with Ask.
Illustrative example (institute enquiries)
Question: which enquiry sources convert best to enrolments?
Headline finding: after de-duplicating the illustrative practice CSV on enquiry_id (852 unique IDs on 4 November 2026), Website form converted at 24.3% (26 / 107) and Referral at 14.0% (14 / 100). Blank source still accounted for 13.5% of unique enquiries.
Evidence: use the source conversion table from types of data analysis or rebuild it in Excel / SQL.
Method: synthetic CSV labelled illustrative; removed duplicate enquiry_id rows; conversion = Enrolled ÷ enquiries by source.
Limits: synthetic data; follow_up_days is last follow-up, not first contact; channel quality may differ in a real CRM.
Recommendations (illustrative for a similar real file): require source and course on the web form; measure first-contact time; review the Referral hand-off before spending more on that channel.

FAQ
How do you write a data analysis report?
State the question, give a headline finding, show evidence, describe method and limits, then recommend a next action. Keep jargon out of the first page.
How long should a data analysis report be?
One page is enough for many weekly updates. Add an appendix only when someone needs the SQL or extra cuts.
Do I need charts in every report?
No. A clear table often beats three weak charts. Add a chart when it makes a comparison faster to see.
Where can I practise?
Use the illustrative enquiry dataset and the seven-step process checklist, then write the report with this template.
If you want feedback on your first report, our data analysis training runs in Vallabh Vidyanagar, Anand, and online.
